Instructions for Downloading the Text File into Microsoft Excel

PLEASE PRINT THESE DIRECTIONS

DOWNLOADING THE STATEWIDE TEXTFILE LIST FROM THE INTERNET:

Go to the DHS home page on the INTERNET at http:/www.michigan.gov/dhs Choose Doing Business With DHS > Licensing

Choose the Program you are looking for from the left navigation area.

Adult Foster Care - (AFC)
Child Day Care - (CDC) Day Care Centers, Group and Family Homes
Child Caring Institutions - (CWL) Child Welfare Licensing
Child Placing Agencies - (CWL) Child Welfare Licensing
Juvenile Court Operated Facilities - (CWL) Child Welfare Licensing

In Licensing Lookups choose STATEWIDE TEXT FILE OF ----- FACILITIES

To download the list click on the statewide list of ----- facilites (may take a few minutes)

Click on File
Click on Save As
Name and Enter file name _________.txt
Choose the directory where you want to save the list (make sure you remember where you put it)
Click OK

The list has now been downloaded (saved) to your computer.
Close out of the INTERNET.


DOWNLOADING A TEXT FILE TO MICROSOFT EXCEL

OPEN EXCEL
Click on File
Click on Open
Go to the directory where you put the list
Click on Files as type drop-down box arrow at the bottom of the window
Select Text Files (*.txt) or All Files (*.*)
Highlight the list name __________.txt
Click Open
[If you get a box that says Microsoft Excel can't load ----etc., click No]

Now, in the Text Import Wizard:
Choose Original Data Type: Delimited
Click Next
Choose Delimiters: Comma
Click Next
Choose Column Format: General
Click Finish

To FORMAT THE COLUMNS so the data can be read:
Highlight all columns by clicking on Ctrl A on the keyboard
In the menu bar, select Format
Select Columns
Select AutoFit Selection
Un-highlight the spreadsheet by clicking anywhere in the spreadsheet.

In menu bar, click Save As
Click on Save as type drop-down box arrow
Select Microsoft Excel Workbook
Enter File Name ________.xls
Click OK.
The data is now available for you to use as your needs require.


SORTING COLUMNS IN EXCEL

Use the "Record Description" (or column titles) to know what information is in each column. It helps if you print it out. It can be printed from the internet page where you accessed the Statewide Text Files.

If there are columns that you do not need you may delete them by clicking only on that column. Example: If you do not want/need information about Facility State and Facility Street Address, highlight those columns and delete them.

TO SORT:

Make sure to highlight the whole spreadsheet when you do a sort. If you highlight only 1 column all of the other columns will not sort along with it. So you will not have accurate information.


Click any cell in the list
On the Data menu, click Sort.
In the Sort Box:
Sort by click the column you want to sort first
Then by click the column you want to sort second
Then by click the column you want to sort third

You do not have to have something in each sort box:

    If you only want to sort by license number put A (for Child Day Care) or C (for Adult Foster Care & Child Welfare Licensing) in the Sort by box and leave the others blank;

If you want to sort by license number AND zip code put A (for CDC) or C (for AFC & CWL) in the Sort by box and J (for CDC) or I (for AFC & CWL) in the Then by box and leave the last one blank; and so on----

Click OK.

Repeat the steps above, if needed, using the next most important columns.
