State of Michigan Travel Management Program FY2007
TRAVEL AGENCY:
The State of Michigan contracts with one travel agency for air, hotel, car, and rail reservation services. Passageways Travel won the travel reservation contract beginning October 1, 2005 and will provide airline and rail ticketing billing to the individual departments' travel accounts. The use of Passageways Travel is required for all airline reservations, and hotel reservations in excess of the state rate, excluding conference hotels as provided in Standardized Travel Regulations Section 6.8 A. Passageways Travel provides the State of Michigan travel data collection and reporting for contract management purposes. Passageways Travel offers an on-line reservation tool, ResX, that can highlight State of Michigan negotiated airline and hotel suppliers. The tool indicates to users which of these suppliers are preferred. Showing the users which suppliers are preferred helps to maximize negotiated rate programs and strengthen supplier relationships. AIRLINES:
The State of Michigan no longer has contracted airline services for fiscal year 2007. Travelers are encouraged to book in advance and obtain the most cost effective ticketing possible. The use of non-refundable fares is desired due to their lower costs. However, there will be circumstances based on travel reasons or costs that a refundable fare will be the most cost effective. If you have questions regarding the cost difference between a non-refundable and a refundable fare, please contact your finance area to determine what fare is the most cost effective and approved before booking. Please be aware that in all cases when travel plans must be cancelled it is your responsibility to contact Passageways to notify them of the change in travel.
STATE AIRCRAFT:
The State of Michigan, Department of Transportation, Air Transport has been flying state employees on business since the 1930s. This service is available to all state employees and invited guests. This service should be considered if traveling in a group of two or more. In some cases, one individual will be cost efficient when combined with another department's travel. CAR RENTALS:
Can be obtained through Passageways Travel when your department has approved the use of car rental when traveling by air.
HOTELS:
The State of Michigan maintains a list of hotel properties in Michigan that offer a $65.00 a night rate or less. The list also contains hotels in areas where $65.00 a night is not a viable rate with the option to contact the contracted travel agency to book reservations. These properties have a "state rate" they have offered in excess of the current state rate of $65.00. Passageways Travel can assist travelers with all hotel reservations, both in-state and out-of-state, at any time. Reminder - conference hotels can be booked at the conference rate directly by the traveler regardless of the cost of the conference rate.
