ENTERING THE AUGUST 2ND ELECTION INTO THE QVF: Jurisdictions that will be administering an election on August 2, 2005 will need to enter the election into the QVF using the election type that best represents the type of election being conducted as explained below.
1.) Jurisdictions can enter the election using “special” as the type. The description field can be used to identify the type of proposal that will appear on the ballot such as “millage” or “bond”. Please note that the word “Special” will not print on Absent Voter Ballot Applications. Instead, the software simply prints “Election: Aug. 2, 2005”.
2.) Jurisdictions can enter the election using “school” as the type. If the clerk opts to define a district in election administration such as "school", the precinct list will print based on school precinct boundary lines. In this case, the description field can be used to identify the school district(s) involved or the type of proposal that will appear on the ballot as explained above.
3.) Jurisdictions can enter the election using “city primary” as the type. Obviously, this election type would be used if the city will be conducting a city primary on August 2.
4.) Counties may enter countywide elections by using “special” as the type without selecting a jurisdiction designation. This will allow all jurisdictions within the county to view the election and work in the various software modules, as needed, to prepare for the election.
Entering an election using “special” or “city primary” as the type will result in the precinct list being printed based on city/township precinct boundary lines.
In the case of a “special” school election, the "user defined fields" can be used to print the name of each voter’s school district on the precinct list to the right of the voter’s date of birth. This information will be helpful in ensuring that voter’s receive the correct ballot. The "user defined field" is divided into two areas, top and bottom. To use this feature, select "school" from the dropdown menu for the bottom field.
