QVF System Notification November 29, 2007

New Page 1

QVF Software Version 2.35 Release:  A new version of the QVF Software has been released. The version contains important updates that will assist clerks with processing AV ballots for the Presidential Primary. Users will need to perform a software update to take advantage of the new features listed below. You can perform a manual software update to take advantage of the changes immediately, or wait until tonight's scheduled replication for the update.

Presidential Primary AV Functionality Adjustments:
  • Voter Registration and AV Scan modules:
    • We have adjusted the AV Lockout functionality so that all lockout options will now consider the party indicator when checking for duplicate ballot number assignments.  The lockout feature will prevent the issuance of the same ballot number within a ballot type (Republican, Democratic, Non-Presidential), while allowing the same ballot number to be used for more than one ballot type.
  • AV Scan module:
    • We have adjusted the party selection functionality by adding a ?Ballot Type" combo box to the AV Scan screen (located to the right of the VoterID search). The combo box will allow the user to temporarily assign a default party selection to be used while processing subsequent ballot requests, or to use the default option of Prompt Me which allows the user to select a party for each ballot assigned. The combo box will contain the following selections:
      • Democratic?Ballots that are subsequently sent or received FROM THIS MODULE will be recorded as ?Democratic".
      • Republican?Ballots that are subsequently sent or received FROM THIS MODULE will be recorded as ?Republican".
      • Non-Presidential?Ballots that are subsequently sent or received FROM THIS MODULE will be recorded as ?Non-Presidential".
      • Prompt Me?Display a dialog each time a ballot is subsequently sent or received FROM THIS MODULE so the user can select the ballot type.
General Software Changes:
  • Precincts and Polling Locations Module:
    • The system now allows the user to view polling locations in all jurisdictions sorted alphabetically.
    • The system now prohibits the user from deleting a polling location that is currently referenced by one or more precincts.
  • Election Geography Module:
    • The system now allows the user to view polling locations in all jurisdictions sorted alphabetically.
  • Server Maintenance Software:
    • Adjusted the server maintenance software to help sites automatically recover from a failed replication attempt.  This change will be transparent to users, but will result in far fewer lockups.
Data Cleanup Activity: In coming weeks, the Bureau of Elections will begin data cleanup on information contained in the Polling Locations table. We will concentrate on the following areas of concern:
  • Blank address fields
    • Any polling location with a partial or blank address will need to be updated with complete information. Bureau staff will contact affected jurisdictions to discuss the changes.
  • Duplicate Polling Locations
    • All polling locations that have an identical match will be consolidated down into a single polling location to ensure that when polling location information is adjusted, the changes appear on all affected records.
  • Blank latitude / longitude fields
    • The Bureau will assign Lat/Lons values to all polling locations that do not currently have these values. This change will be transparent to users, but will ensure that a map of all polling locations will be displayed on MVIC.
Digitized Signature Update: The Bureau will also perform a sweep of the QVF database looking for voters who have a newer signature on file with the Secretary of State, as well as for voters who still need a signature. You may notice a small increase in the number of signature included in your replication over the next few weeks.

If you have any questions regarding this communication, please contact the QVF Help Desk at 800-310-5697.  Thank you.
