Michigan Student Data System - Student Record Maintenance

The Student Record Maintenance collection will be available in mid-September for the 2009-10 school year. This collection may be used to update student data throughout the school year.

Purposes:
End-of-Summer snapshot: All summer graduates (through August 31) or any exit status changes for students who are part of the most recent four-year cohort must be submitted through the student maintenance collection. This will be the final disposition used for determining the status of the most recent cohort and will be the final opportunity to submit graduates (replacing the use of the fall Single Record Student Database collection in prior years).

Request Primary Education Providing Entity* (PEPE) changes: The MSDS will assign a PEPE to every public school student. There may be times when the data do not reflect the correct accountable entity for a student, such as for students with equally split full-time equivalency (FTE). District authorized users may request a change in the PEPE building and/or the PEPE district to ensure that the state correctly assigns accountability for a student. This mechanism replaces the accountability report requests that were previously available in the Graduation and Dropout Review Application (GAD).

Submit enrollment records between general collections: In order for a district user to be able to obtain student history information, look up a student's direct certification status, claim accountability/PEPE, or to report in certain collections, the student must be enrolled in that user's district.

Submit exit records: Exit records can be submitted via the maintenance collection. This can be used to ensure that PEPE status is appropriately updated, to correct exit status for accountability, and, in the future, to provide the accurate roster for assessment purposes.

Update student demographics/program data: The data stored in the MSDS on a student are considered the source record for accountability. Demographic updates will be phased out of the Office of Educational Assessment and Accountability (OEAA) Secure Site and corrections will have to be made to the student record in the MSDS. In addition, data corrections can be submitted between collections to ensure that the state data accurately reflect the student status.

*PEPE identifies the primary education providing entity for a student and is used in assigning accountability for graduation cohort and Adequate Yearly Progress (AYP) determinations. For students reported by multiple districts, only the PEPE can update Personal Core characteristics.
