 The 2011-2012 Student Record Maintenance (SRM) Collection may be used to update student data throughout the school year. This optional collection will be open until July 2, 2012 for submission of 2011-2012 school year data. The collection will re-open on July 23, 2012 and will remain open until September 12, 2012 to submit changes for the Graduation Rate Appeals Window only.
The 2012-2013 SRM Collection will open mid-September 2012.
Student Record Maintenance Collection Overview
Purposes:
Graduation Rate Appeals Window: This will be your final opportunity to review and correct the data used to calculate your graduation and dropout rate in advance of rate publications.
- Use the SRM Collection to submit corrections or updates for the calculation of four-year, five-year and six-year rates.
- Ensure that you have reported all of your end-of-summer graduates in the SRM no later than September 12, 2012 if they were not reported in the EOY 2011 General Collection. You must report all graduates as "exited" by August 31 for them to be considered as "on-time graduates."
- Only your ISD auditor can make exit status updates for students who exited prior to the 2010-2011 school year through an audit finding in the GAD, as these data have been previously audited.

Submit enrollment records between general collections: In order for a district user to be able to obtain student history information, to look up a student's direct certification status, to claim accountability/PEPE, or to report in certain collections, the student must be enrolled in that user's district.
Submit exit records: Exit records can be submitted via the maintenance collection. This can be used to ensure that PEPE status is appropriately updated, to correct exit status for accountability, and, in the future, to provide the accurate roster for assessment purposes.
Update student demographics/program data for assessment and accountability: The Bureau of Assessment and Accountability (BAA) uses student data reported through the MSDS as the source for each district's student roster. In addition to the data submitted through the General Collections, districts may use the SRM to update or correct demographic information. To be included in accountability calculations, each SRM record must have an "As Of Date" within a specific date range and must be certified before the published deadline.

*PEPE identifies the primary education providing entity for a student and is used in assigning accountability for graduation cohort and Adequate Yearly Progress (AYP) determinations. For students reported by multiple districts, only the PEPE can update Personal Core characteristics. |
