Definitions:
Affiliated – Individuals or entities who have an existing relationship with the agency (business entity) producer and are associated to the license record of the agency with DIFS
Agency – a business entity that acts as an insurance producer
Branch Office – any office location, other than the primary location of the licensed agency/business entity, that regularly conducts insurance business or that is advertised as a place where the public may contact the agency/business entity or its employees concerning insurance services
DBA – Doing Business As
DRLP – Designated Responsible Licensed Producer

What is ILOS?

The ILOS system was designed to view and modify agency information, including demographics, affiliations and DRLP designations.

To use ILOS, each affiliate who is authorized to make changes on behalf of an agency must create their own separate account and have their own personal login.

ILOS will not accept one general business account for the agency.

If an individual is actively affiliated with more than one agency, each agency will be listed in the ILOS account. The individual will select which agency he/she wishes to view and update each time he/she enters the system.

To verify the active affiliates (individual associations) of an agency, please use the Insurance Agency Locator on the DIFS website.

Enter the System ID Number or the FEIN in the appropriate field; click Submit.

Click the name of the agency to view agency details.

Scroll to the Individual Associations section; click “here” to view affiliate information.

Only the following active affiliation types can add a DRLP: existing DRLP, Director, Licensing Coordinator, Member, Officer, Owner, Partner and Stockholder.

Only the following active affiliation types can add a Licensing Coordinator: DRLP, Director, existing Licensing Coordinator, Member, Officer, Owner, Partner and Stockholder.

An active affiliation type of affiliate, producer, or dealer can only view licensing information and cancel their own individual agency affiliation.

Can Licensing Coordinators use ILOS?

Yes, however they must be affiliated as a Licensing Coordinator.

If a Licensing Coordinator represents multiple agencies, they must be affiliated with each agency separately.

SSN and date of birth are required when affiliating any individual, including Licensing Coordinators.

A Licensing Coordinator cannot add additional affiliation titles to their own individual agency affiliation.

Are there helpful tips for creating an ILOS account?
-
Make sure you are entering registration information for an individual who is actively affiliated with the agency (officially associated to the license record of the agency with DIFS).

When you are entering registration information for an individual, the name must be entered exactly as the name is recorded in the DIFS database.
-
If the name in the DIFS database is Michael Smith, the individual must register as Michael Smith, not Mike Smith.

The individual’s name can be verified using the Insurance Agent Locator.

The name used to create the ILOS account must be the same person whose SSN and date of birth is used to verify the account.

Each username and email address can only be used once to create an account. The same username and/or email address cannot be used to create another account.

How is an ILOS account created?
- Click on the ILOS Login above.
- Click on Register a New Account.

If my ILOS account is locked or I forget my password, how do I proceed?
-
A locked account will automatically unlock in 30 - 60 minutes.

If the password is forgotten, click the Forgot Password link on the ILOS Login page. An email message with a temporary password will be sent to the email address listed on the ILOS account.

Can an ILOS account be inactivated?
-
If an account is created and needs to be inactivated, the request must be sent by email to DIFS-Licensing@michigan.gov.

The email request must include the username and email address that needs to be inactivated.

When the account is inactivated, the email address used to create that account cannot be used to create another account in ILOS. If you need to use that email address again, the request must be sent by email to DIFS-Licensing@michigan.gov.

What transactions can individual affiliates conduct in ILOS?
The type of active affiliation an individual has with an agency will determine what type of transaction that individual is authorized to conduct. For quick reference, please review the following information.
DRLP, Director, Licensing Coordinator, Member, Officer, Owner, Partner, and Stockholder affiliates have authority to:
- View detailed license information for licensed agencies/business entities
- Modify demographic information for licensed agencies/business entities:
- Agency name
- Agency mailing and business addresses
- Agency phone and fax numbers
- Agency web site
- Agency email address
- Add and cancel DBAs for licensed business agencies/business entities
- View and modify existing agency DRLPs
- View and modify existing agency individual and entity affiliations
- Add a new agency DRLP
- Add new agency individual and entity affiliations
Affiliate, Producer, and Dealer affiliates have authority to:
- View detailed license information for licensed agencies/business entities
- View demographic information for licensed agencies/business entities
- View affiliation information for licensed agencies/business entities
- Cancel their own individual agency affiliation

What are the requirements for completing demographic changes to an agency record?

Demographic changes can be entered for all agencies regardless of the license status.
-
Documentation (legal proof of the name change/DBA) is required for an agency name change or addition of a DBA.
-
An agency name change and addition of a DBA are not effective until approved by DIFS.
-
Business addresses cannot be post office box addresses.

What are the requirements for adding/cancelling affiliations and DRLP's?
- Affiliates can only be added and/or modified for agencies with an active license status.
- Adding an affiliate requires the Social Security Number and date of birth of the affiliate being added.
- An individual cannot activate their own personal agency affiliations that are currently inactive.
- An individual can cancel their own personal agency affiliations that are currently active.
- Activation of a DRLP is a two-step process that requires acceptance acknowledgement of the proposed DRLP after submission by the agency:
- A request will be sent to the proposed DRLP at their business email on record with DIFS. If no business email is on record with DIFS, a letter will be sent to the mailing address on record.
- The proposed individual is required to create an account and log in to ILOS, then accept or decline the affiliation request as the DRLP.

Can ILOS be used to register or cancel a branch office?
- Effective July 1, 2017, branch office registrations can be opened and closed using ILOS. Each branch office location does not receive a copy of the agency license, but may receive a registration certificate if requested during the registration process.
- Modifications to branch registrations can only be made to the phone, email, and website contact information. If a branch location address has changed, the agency will need to submit a request to close that particular branch location and a separate request will need to be made to open the new branch location.
