Michigan Disclosure Request System Privacy Notice

This Privacy Notice explains how we collect, use, and share personal information about you or your organization. It applies only to the Michigan Disclosure Request System and the information collected through this system.
If we make changes to this Privacy Notice, then the Effective Date will also be updated.
Information We Collect
We collect information in two ways:
- Directly from you to verify your identity and process your request such as:
- Name.
- Address.
- Phone number.
- Information unique to you or your business.
- Automatically from the system such as:
- Domain name and date/time of access.
- Internet protocol (IP) address, browser type, and operating system.
- Internet service provider (ISP) and referring/exit pages.
- URL of the link you used to access the site.
- Platform type and user activity.
How We Use Your Information
- To locate and share the requested Treasury documents about the relevant individual or organization.
- Your information is only used for the purposes described in this notice.
Protecting Your Information
We follow State of Michigan IT policies and applicable laws to safeguard your data.
Sharing Information
We may work with third parties to provide and maintain this system. These partners must follow strict contractual agreements on handling your information.
We comply with Michigan’s Freedom of Information Act (FOIA), MCL 15.231 et seq., while protecting your privacy.
Accessing Your Information
You can access the information you provide directly through the system.
Retaining Your Information
We manage and dispose of information per state and federal laws:
- Records of disclosure requests (name of requestor, subject, request date, disclosure date)
- Retained for seven years.
- Specific documentation provided to fulfill a request
- Available for 30 days after being shared with you.
Withdrawing Consent
Once you submit information, you cannot withdraw consent for its storage in this system.
Filing a Privacy Concern
To file a privacy concern, send a written request (by mail or electronically) to us with:
- Your name (or the affected person’s name, if filing for someone else).
- The right you believe was violated.
- The Treasury staff involved (if known).
- What actions you request to correct the issue.
- Your contact information (address and phone number).
