Bulk Student Transfer in MiSSG

Institutions can now transfer students directly in MiSSG by following the Bulk Student Transfer process. 

How to complete a Bulk Student Transfer in MiSSG

MiSSG Administrator 1 level access is needed to complete this process.

  1. Download the Bulk Student Summary for your respective institution from 'Activity Reports' in MiSSG. This report contains student summary data information, if they are designated at the institution running the report, including eligibility status for programs in the selected academic year at the student's current institution.
    • Be sure to select ‘List 9-digit SSN’ as the full SSN is needed for the system to process the Bulk Student Transfer file.
    • To clean up the report for this process, remove the header rows, delete program information (columns J through X), and filter for students not at your institution in column I. This should now be the list of students who are not currently at your institution.
  2. Cross-check the Bulk Student Summary against your institution’s internal roster of enrolled students and identify students for whom a transfer request needs to be submitted so they may appear at your institution in MiSSG.
    • We recommend that once the students are identified, a new Excel document is created for file upload. This will prevent the possibility of uploading junk data which will create errors and a rejected file.

  3. Following the Bulk Transfer Upload File Layout, create your .csv file. Note that certain fields require entries in a specific format as indicated below:
    • Columns A and D: the SSN must contain leading zeroes where appropriate.
      1. These columns are from the Bulk Student Summary Report which is why we recommend using this report.
    • Column E: the SSN and DOB must contain leading zeroes where appropriate.
    • Column F: must be the ending year of the academic year for which the transfer is requested (i.e. enter 2025 for Academic Year 2024-2025).
    • Column G: the term the student needs to transfer to. Reminder that if transferring the student for Fall, the record will be at that institution for Fall and the following terms.
      1. Every student transfer within the same file has to be for the same semester. An error will occur if the semester/terms are not the same.
    • Once a student has a paid payment for a semester, the student cannot be transferred to a different institution for that semester.
      1. Students in a READY TO PAY status can still be processed; however, this will clear out the payment request.

  4. Review all data entered on the form is accurate and you have ensured accuracy and enrollment of students. Then save the file as a .csv for upload in MiSSG.

  5. To upload the file, access MiSSG and follow the steps below:
    • Within the MiSSG tab select BULK TRANSFER
    • Select the year and semester.
    • Select UPLOAD FILE
      1. Depending on the size of the file, it may take additional time to upload.
    • Once the file finishes uploading, there are multiple messages that could populate.
      1. The File has completed successfully - all the files have transferred.
      2. The File has been processed, but errors were found - click on the status of the file to view the errors. A corrected file and upload will be needed.
