Account Maintenance
-
A quick reference guide is available on MiUI University describing the Employer / TPA association process.
-
The employer can complete the association or a TPA can request association, in certain circumstances (Professional Employer Organizations / Fiscal Intermediaries), between the employer and TPA accounts. TPA roles can be assigned by an employer directly or requested by a TPA. Employers will have the ability to edit those TPA roles afterwards.
-
There is only one level of access for TPAs (TPA System Administrator).
-
No, while employers will have 10 years of correspondences transferred from MiWAM to MiUI, TPAs will only be able to see correspondences generated after MiUI went live in the system.
-
Yes, multiple TPAs can be assigned the same View role at the same time. There is no limit to the number of TPA accounts who can share View access for the same role at a given time.
-
By default, the person who created/activated the TPA account will have system administrator privileges and maintain the login credentials for the TPA account itself. Any additional users added to a TPA account will also have system administrator privileges.
-
The 7-digit Employer Account Number (EAN) is the simplest way for UIA staff or third-party administrators (TPAs) to find an employer account in MiUI using search functions. The 7-digit EAN is also used to initiate a MiUI account. If an employer account changes status (reimbursing, contributing, terminated, reactivated), it keeps the same EAN—so employers will no longer use multiple EANs as they have in the past.
-
All users who are added to a third-party administrator (TPA) account will activate their own account using their FEIN (Federal Employer Identification Number) or SSN (Social Security number) and the Activation Code they received via email. Please refer to this step-by-step guide.
-
After logging in to MiUI through MiLogin (MiUI log in for Employers and MiUI log in for TPAs), navigate to the Employer Homepage and select Account Maintenance. Then, from the drop-down menu, select Request Reactivation. Once on the Reactivate Account screen in MiUI, you will be asked a few questions. Don’t forget to select submit to finalize your account reactivation request.
-
In the left navigation menu, select Account Maintenance. From the dropdown, select Address Information. On the Address Information screen, select the hyperlink for your mailing address. At the bottom of the screen, you will see the fields to update your email address.
-
Under Account Maintenance, there is a menu option for Maintain Users or Roles. There, you will be able to locate the desired user and remove their access.
-
MiUI will allow multiple TPAs to have View access for the same role at the same time. However, an Edit or Submit role can only be active for one TPA at a time.
-
TPAs will receive the assigned role permissions immediately.
-
TPAs that have an existing account in MiWAM will be assigned a MiUI TPA ID as a part of the One Time Migration process at Go Live. New TPAs will register in MiUI and will receive their MiUI TPA ID after registration. After the scheduled MiUI launch on February 23, 2026, TPAs will sign into MiUI to activate their account and be able to view their TPA ID on their homepage.
-
TPAs will grant system administrator roles to their employees to manage their employers/clients. Assigning specific employers/clients or roles to employees is not possible in MiUI.
-
If you have duplicate active user profiles, you can deactivate one. If a profile is deactivated, it will still be shown in the search results on the Maintain Users or Roles screen, but it will be listed as "Inactive." If a user profile is "Pending" activation, it cannot be deactivated.
-
After logging into MiUI, you will see a list of all the businesses tied to your account. To manage a specific business, select the business name. On your employer home page you can select the Switch Business hyperlink to return to the previous page and navigate between your businesses.
-
TPAs cannot edit their own role assignments in MiUI.
-
Yes, there is a 30-character limit for email addresses.
-
WOTC actions now take place in MiUI for Tax.
As part of the transition to MiUI, the UIA will attempt to convert all Employer–TPA relationships that previously existed in MiWAM into MiUI, including relationships for WOTC TPAs. The exception is when an employer had two or more TPAs assigned in MiWAM. In that case, the employer is not added to the TPA’s record automatically and must grant permission to that TPA in MiUI. To complete this action, the employer will need the TPA’s new MiUI TPA ID.
TPAs with the proper authorization can also associate themselves with an employer outside of the Automatic Assignment process.TPAs who had permission to conduct WOTC actions in MiWAM are granted the WOTC Update and Submit role in MiUI. MiUI also includes a WOTC View Only role that can be assigned to TPAs.
-
For TPAs there is only one security role, System Administrator which allows all users of that TPA to view all employers associated to that TPA.
-
A user with the Edit Rate Notice and Voluntary Contribution role can request an experience transfer, view the rate notice, and view the Voluntary Contribution Calculator. Third-party administrators (TPAs) cannot be granted access to this role, but can be assigned the View Rate Notice and Voluntary Contribution role.
-
A Reporting Unit refers to a secondary location for a company, a different physical location, or a subsidiary. In MiUI, Reporting Unit details are stored elsewhere, so the 7-digit EAN does not include the 3-digit location code.
-
The Employer Account Number is the system ID for each employer account in MiWAM and MiUI, but its format and what it represents differ between the systems.
- In MiWAM, the EAN is a 10-digit number, and the last three digits of that 10-digit EAN denote the location code.
- In MiUI, the EAN is 7 digits - specifically, the first seven digits of the 10-digit MiWAM EAN. Example: if the MiWAM EAN is 1234567890, the MiUI EAN is 1234567.
-
Please continue to use the current Power of Attorney form (UIA-1488) available on the UIA Website.
-
There will be a step-by-step guide and recording that TPAs can share with employers, so they know how to conduct the authorization process. Both resources will contain screenshots to help walk employers through the process.
-
SIDES will be available in MiUI when Benefits functionality is released summer 2026. Until then, please continue processing any SIDES related work in MiWAM.
-
Employers will be required to have a MiLogin for Business account to access MiUI and establish the relationship with their TPA. TPAs will also require a MiLogin for Business account to access MiUI and be provided role(s) to act on their employer's behalf.
-
MiUI will have new file formats: Delimited, ICESA, EFW2, and XML. To learn more about these file formats please reference the Quarterly Wage Reports (QRG) on MiUI University.
Please note, the MiWAM file format will no longer be accepted, employers and/or Third-Party Administrators (TPAs) will need to update existing processes to reflect acceptable file formats.
