  4. MiUI FAQ
  5. Account Maintenance
  • When will we receive guidance on the Third-Party Administrator (TPA) authorization process?
A quick reference guide is available on MiUI University describing the Employer / TPA association process.
  • Can Third-Party Administrator (TPA)s connect an employer to their account?
The employer can complete the association or a TPA can request association, in certain circumstances (Professional Employer Organizations / Fiscal Intermediaries), between the employer and TPA accounts. TPA roles can be assigned by an employer directly or requested by a TPA. Employers will have the ability to edit those TPA roles afterwards.
  • Can Third-Party Administrator (TPA) accounts have multiple users with different access levels?
There is only one level of access for TPAs (TPA System Administrator).
  • Are employers able to grant Third-Party Administrators (TPAs) access to their MiUI accounts before the Go-Live date?
Employers can only grant TPAs access to their MiUI accounts after MiUI launches in early 2026.
  • Can multiple Third-Party Administrators (TPAs) have the same View role in MiUI at the same time?
Yes, multiple TPAs can be assigned the same View role at the same time. There is no limit to the number of TPA accounts who can share View access for the same role at a given time.
  • Will a main administrator be required for Third-Party Administrator (TPA) accounts?
By default, the person who created/activated the TPA account will have system administrator privileges and maintain the login credentials for the TPA account itself. Any additional users added to a TPA account will also have system administrator privileges.
  • How do added users activate their user profile?
All users who are added to a third-party administrator (TPA) account will activate their own account using their FEIN or SSN and the Activation Code they received in their email. A step by step of this process will be available in MiUI University closer to early 2026.
  • How do we remove user access in MiUI?
Under Account Maintenance, there is a menu option for Maintain Users or Roles. There, you will be able to locate the desired user and remove their access.
  • How does the system handle multiple Third-Party Administrators (TPAs) with different roles?
MiUI will allow multiple TPAs to have View access for the same role at the same time. However, an Edit or Submit role can only be active for one TPA at a time.
  • How soon after I assign a Third-Party Administrator (TPA) a role will they have the selected role permissions?
TPAs will receive the assigned role permissions immediately.
  • How will I get my new Third-Party Administrator (TPA) ID in MiUI?
TPAs that have an existing account in MiWAM will be assigned a MiUI TPA ID as a part of the One Time Migration process at Go Live. New TPAs will register in MiUI and will receive their MiUI TPA ID after registration. In early 2026, TPAs will sign into MiUI to activate their account and be able to view their TPA ID on their Home page.
  • How will Third-Party Administrators (TPAs) manage their employers/clients in MiUI?
TPAs will grant system administrator roles to their employees to manage their employers/clients. Assigning specific employers/clients or roles to employees is not possible in MiUI.
  • If I am an employer with multiple businesses under one MiLogin for Business account, how do I access them all in MiUI?
After logging into MiUI, you will see a list of all the businesses tied to your account. To manage a specific business, select the business name. On your employer home page you can select the Switch Business hyperlink to return to the previous page and navigate between your businesses.
  • If the employer grants their Third-Party Administrator (TPA) the Edit Account Account Maintenance role in MiUI will the TPA have the ability to edit their TPA roles?
TPAs cannot edit their own role assignments in MiUI.
  • Is WOTC moving over to MiUI after Go-Live? What roles will Third-Party Administrators (TPAs) who perform WOTC actions in MiWAM have in MiUI?
WOTC actions will take place in MiUI after Go-Live.

As part of the transition to MiUI, UIA will attempt to convert all Employer-TPA relationships that currently exist in MiWAM into MiUI, including WOTC TPAs. The exception is if the employer has two or more assigned TPAs in MiWAM. In this case, the employer will not be added to the TPA’s record, and must grant permission to that TPA after the launch of MiUI in early 2026. They will need the TPA’s new MiUI TPA ID to complete this action.  TPAs with the proper authorization will also be able to associate themselves with an employer on their own outside of the Automatic Assignment process.

TPAs with permissions to conduct WOTC actions in MiWAM will be granted the WOTC Update and Submit role in MiUI. MiUI also has a WOTC View Only role that can be assigned to TPAs as well.
  • What access do Third Party-Administrators (TPAs) and any added users of that TPA have in MiUI?
For TPAs there is only one security role, System Administrator which allows all users of that TPA to view all employers associated to that TPA.
  • What can someone do with the Edit Rate Notice and Voluntary Contribution role?
A user with the Edit Rate Notice and Voluntary Contribution role can request an experience transfer, view the rate notice, and view the Voluntary Contribution Calculator. Third-party administrators (TPAs) cannot be granted access to this role, but can be assigned the View Rate Notice and Voluntary Contribution role.
  • What resources can Third-Party Administrators (TPAs) share with their employers to prepare them for authorizing their TPAs in MiUI?
There will be a step-by-step guide and recording that TPAs can share with employers, so they know how to conduct the authorization process. Both resources will contain screenshots to help walk employers through the process.
  • Will both employers and Third-Party Administrators (TPAs) be required to have a MiLogin for Business account to establish their relationship?
Employers will be required to have a MiLogin for Business account to access MiUI and establish the relationship with their TPA. TPAs will also require a MiLogin for Business account to access MiUI and be provided role(s) to act on their employer's behalf.
  • Will file formats be the same in MiUI as they are in MiWAM?

MiUI will have new file formats: Delimited, ICESA, EFW2, and XML. To learn more about these file formats please reference the Quarterly Wage Reports (QRG) on MiUI University.

Please note, the MiWAM file format will no longer be accepted, employers and/or Third-Party Administrators (TPAs) will need to update existing processes to reflect acceptable file formats.
