5.03 In-store Monitoring Visits

Effective Date: 08/01/2021

PURPOSE:    

To describe the purpose and process of in-store monitoring visits conducted by the Department.

 

DEFINITIONS:

Monitoring visit means an announced or unannounced visit conducted by the Department to evaluate Vendor compliance with WIC Program requirements.

 

POLICY:

 

  1. The Department shall conduct monitoring visits to evaluate Vendor compliance with WIC Program requirements.

     

  2. Monitoring visits may include review of:

     

    1. Minimum stock requirements;

       

    2. Shelf prices;

       

    3. Vendor signage and educational materials;

       

    4. Transaction procedures;

       

    5. Inventory records; and

       

    6. General compliance with WIC Program requirements.

     

  3. Monitoring visits may be conducted on a routine basis or in response to complaints, investigations, or high-risk indicators.

     

  4. Vendors shall provide Department representatives access to all areas, records, and documentation necessary to complete the monitoring visit.

     

  5. The Department shall document the results of the monitoring visit and may require corrective actions or impose sanctions when violations are identified.
